Alpha Schools Event Strategy and Organizational Dynamics Discussion
Overview
Gary Sheng had an extensive conversation with Joanna Lovejoy, Alpha Schools' Enrichment and Experiential Programs staff member, about event planning challenges, organizational dysfunction, and strategic opportunities for improving parent engagement. The conversation revealed significant operational issues within Alpha Schools while identifying concrete solutions for better parent community building and strategic networking.
Key Participants
- Gary Sheng: Alpha Schools strategic advisor working on special projects and events
- Joanna Lovejoy: Alpha Schools staff member managing enrichment and experiential programs
Major Topics Discussed
1. Joanna's Role and Responsibilities
Joanna outlined her transition to managing enrichment and experiential programs:
Current Focus Areas:
- After-school programming: "2 or 3 offerings per session per campus"
- Starting with established Alpha campuses: Alpha Austin, Alpha Middle School, GT School, NextGen, and Texas Sports Academy
- Summer camp coordination with ambitious goals
Summer Camp Initiative: Joanna: "My goal there is to have our AI summer camp facilitated in at least 10 different cities across the United States with 500 registrations."
Partnership Development:
- Working on high-level partnerships including "SCAD for 3D design and development" and "Oxford for study abroad programs"
- Building non-honors high school workshop pieces
2. The June 14th Event Planning Crisis
Gary explained the challenging situation he found himself in regarding an event Arthur Mitchell had tasked him with organizing:
The Assignment Context: Gary: "Arthur basically got some, it was kind of like... we were all discussing what the needs were for... filling seats, right? And they had seen me put on a successful event in April 23rd... It was after that event, it became clear to me that the real P0 is kind of filling the existing schools."
The Timing Problem: Gary discovered the June 14th date was poorly chosen: "Part of why we even picked a date this near term... was just because, like, let's just see how you do in a more formalized... top of funnel and filling seats type of role."
Reality Check from Parents: Gary: "Almost everyone has said no, not because they don't love Alpha, but they're like, we're just not going to be here, Gary."
3. Joanna's Candid Assessment of Alpha's Dysfunction
Joanna provided brutally honest feedback about Alpha Schools' organizational challenges:
On Gary's Difficult Position: Joanna: "I think you're in an incredibly difficult position, if I'm being perfectly honest. You're not necessarily like affiliated with the school. So there's going to be a lot of things that you're not privy to... And then on top of that... you are kind of not necessarily solely responsible for, but being put in a position where they're going to hold you accountable for specific numbers."
On Alpha's Decision-Making: Joanna: "Decision-making, very strange at Alpha. Always has been, probably always will be."
Encouraging Assessment: Joanna: "But, you know, I think people who can thrive in tough spots tend to do really well in this ecosystem. So we've all been there."
Welcome to the Reality: Joanna: "Welcome to Alpha. You have caught on very quickly. Very well in this environment."
4. Strategic Solutions and Recommendations
Joanna provided detailed recommendations for navigating the situation:
Immediate Action Plan: Joanna: "I think what you should do is put together an invitation and you need to get it out to the parent community like today or tomorrow."
Key Staff Connection: Joanna: "I highly encourage you reach out to Tim Eyerman. He is our current Dean of Parents... Tim typically will be the one to post in ParentSquare, which is like the internal parent communication app that we use."
Strategic Communication with Arthur: Joanna: "I would preemptively reach out to Arthur and say, hey, Arthur... after interfacing this week or whatever, most of our parents are going to be out of town. This is the registration number. Joanna informed me of a back to school event on the 11th."
5. The Back-to-School Alternative
Joanna revealed a much better timing opportunity:
Optimal Timing:
- Back-to-school event scheduled for August 11th
- School starts August 13th
- Parents will actually be in town and engaged
Strategic Advantages: Joanna: "You'll have a better idea of like how many available admission seats are there. Be able to determine if there is demand for a second alpha campus located in the Austin area. You can basically use this as a way of... gaining parent to parent referrals, which are supposed to be some of the strongest referrals."
Current Admission Status: Joanna: "I think right now we're going to be sitting like in between 20 and 25 available seats... We're still waiting on some re-enrollments and acceptances to come in."
6. Summer Reality Check
Joanna explained why summer events don't work for Alpha families:
Shadow Day Limitations: Joanna: "Right now, you're basically saying, hey, parents, come in the middle of summer. Half of you guys are going to be here. And if you weren't interested in enrolling, you have to send your kids to one of our camps because those are the only shadow experiences that we have over the summer. And that doesn't make any sense."
Limited Summer Capacity: Gary: "And so we basically have no shadow capacity in the summer anyways." Joanna: "Unless they are coming in for, they have to sign up for a full week of camp."
7. Gary's High-Level Network and Frustrations
Gary revealed his extensive connections and frustration with Alpha's lack of coordination:
Government and Elite Connections: Gary: "I was in D.C. I literally was at the White House. I have pretty crazy connections... I know the people that no one knows about that has Trump's ear. I'm literally... I advise Trump's faith office director, Paula White. I'm literally... Pope Francis was a fan of mine."
Network Application: Gary: "The person that I had lunch with today spent literally three hours with him and his CEO of his company that they regularly get billion dollar contracts from the government. And he himself is a godfather of A.I. And he loves education. He has like five kids. And he's he really loves Alpha schools."
Coordination Frustration: Gary: "Arthur is so not plugged into what's happening. And I, and candidly, Joe is like flying all over the place and... doesn't make my assessment is generally that he does not make enough time to... support that sort of strategy and... team coherence... we're uncoordinated... projects are approved that don't make sense."
8. Speaker Series Vision
The conversation evolved toward a much more strategic approach:
Gary's Preference: Gary: "I'd rather dedicate my time to some pretty big government contracts that government officials would like to give to Alpha versus... put on some random event that no one's going to come to."
Joanna's Speaker Series Proposal: Joanna: "I have wanted to put together like a pretty comprehensive speaker series for ALF, like enrolled families... You and I could coordinate on what that looks like for the rest of the year."
Previous Speaker Caliber: Joanna: "We've had Dan and we've had Jaeger. So it's like if you can get somebody of that caliber, like that becomes a much more interesting proposition."
9. Elite Parent Network Concept
Both Gary and Joanna aligned on creating premium experiences for Alpha parents:
Gary's Vision: Gary: "What is the Alpha Family Alpha Parent Alpha Elite Parent Network look like?... What is YPO for Alpha?... What kind of lounges are we renting out or partnering with? Because Joe has a million contacts and like people that own clubs in Austin."
Joanna's Support: Joanna: "How do you make this a super elite experience for parents who are part of this network?... Something else that I started working on that I just didn't have time when I was doing admissions was like local kickbacks for parents."
Strategic Value: Joanna: "I liked how on your website you were like, look, this is like what an alpha parent is. You are interested in what is next. What is new?"
10. Organizational Coordination Issues
The conversation revealed systemic coordination problems at Alpha:
Leadership Disconnect: Gary: "Everyone's kind of operating in like these... I'm not trying to put any sort of malintent about anything. The reality is that we're uncoordinated... projects are approved that don't make sense."
Strategic vs Tactical Misalignment: Gary expressed frustration about being pushed into tactical execution when his strength is strategic relationship building and high-level partnerships.
McKenzie's Frustrations: Gary: "McKenzie is also very frustrated with... the fact that the Alpha schools ecosystem and the satellites and the sister, like the fact that it's been segregated from the future of education stuff. Like she was like, why did this happen?"
